Are you an entrepreneur with great business plans and short on time to accommodate all of those? If you are working 10-12 hours a day all seven days of the week, then it isn’t a sign of over-productivity. Instead, it indicates a lack of effective time management. Keep reading to learn more about effective time management for even greater success, so you can have your ideal business and life.
As business owners, you surely have a strong work ethic. However, working overtime does nothing to reflect on your competence. You must remember that working round the clock means you’re not using your valuable time appropriately. It also means that you are not sleeping enough, relaxing well, or spending enough time with the family and socializing.
Hence, it is time to acknowledge one fact: time management is never about quantity. Working extra hours is not tantamount to success in business. Rather, what truly symbolizes success is effective management of your time and getting the most value out of it, without compromising on other facets of life.
Let’s discuss this further.
Time Management – Efficient and Effective
Effective time management means having the capability of completing your tasks and achieving targets in a productive and timely manner. It includes the act of designating a set period of time (using time blocks) for your tasks to maximize time and strike a balance in life.
Efficiency and effectiveness are correlated: a combination of these two attributes ensures that you get the best done in the best way possible. Effective time management is the art of completing tasks within the allotted time, without compromising on performance quality.
Effectiveness also ensures that you consider whether what you want to do will add value to business or is something you need not do at all. With better time management, many of your business aspects will also improve. When you become more efficient and time-managed and effective as a business owner, here is what happens:
- Improved decision-making
- Faster business growth and more success
- Less procrastination and more high payoff tasks
- Boost in productivity
- Your employees work under less stress and perform optimally also
- The environment in your office improves when you are an organized leader
- You enjoy a better life with work-life balance
Effects of Poor Time Management
As entrepreneurs, it is highly important to be well aware of the repercussions of poor time management on your business. Without this awareness, you’d not be conscious of how your mismanagement of valuable time will impact the business, both financially and reputation-wise.
Let’s take a look at some of the detrimental impacts on a business now.
- You don’t Prioritize and Focus on Your Work
For many business owners, poor time management results in a lack of prioritization and focus on their business. This is perhaps largely due to the fact that they start out with unclear or foggy goals in the first place.
As a result, you become scattered and disorganized with tasks. You wouldn’t know where to start, how much and what to do in a day and so on. Even your employees will catch up on this and soon productivity will go haywire.
Other mismanaged entrepreneurs let mundane tasks take their focus away from more valuable tasks, including emails, catching up with correspondence, etc. Thus, when projects keep building up and deadlines loom closer, they feel overwhelmed and rush things while working overtime.
This ends up in poor quality of work and poor performance, which is sure to reflect poorly on your expertise in the industry. Also, when you jump from project to project and don’t take time to rest and relax sufficiently, fatigue and stress keep building too.
- Lack of Motivation and Incompetent Practices
Staff members follow their boss’ lead, as is usually the case everywhere. As the team leader, if you’re energetic, driven and organized, your team will catch up too. However, when the boss appears frazzled and scattered all the time, the employees will feel the pressure too.
Their work will start suffering and they will remain unmotivated, which will have ripple effects on the organization. Low motivation and morale does not take time to breed and before long, it can pull your business flow rapidly down.
Time Blocks – How to Use them
Entrepreneurs aiming for effective time management skills need to make use of time blocking. It is an effective method of planning out each moment of the day in advance. It also includes the act of allotting specific time blocks for planned tasks and targets in a day.
For many, this process may sound more chaotic than a solution, but in fact the opposite is true. Time blocking will help you have the opposite effect, by filling your calendar with activities and tasks that you need to do. Do you know what the best advantage of this is?
When you pack your calendar with high payoff tasks and responsibilities, you leave no room for distractions and others to steal your time. By scheduling each moment of your day and directing it to valuable tasks, you multiply your focus while minimizing distractions.
While many use a much-detailed route of time blocking, here’s a simpler and a more practical one for you.
- Prepare a Prioritized Action List
This actually takes a lot less time than you think it does. You only need to jot down the important tasks in day priority-wise on your list. This way, you’ll start doing what’s most important and wrap up your workday on an accomplished note. This list can be kept in your CRM, Outlook, or an excel spreadsheet.
If you don’t already have something, download my Free Sample Prioritized Action List (PAL) that everyone in your office can use, by going to https://www.accountabilitycoach.com/pal-sample/.
- Use the Alarm
When the morning rolls by and you’re ready to launch into work, choose the first task on your list. Set the alarm for a reasonable amount of time within which you feel you must complete the task. Also vow not to use the phone, check emails, send texts, and take calls etc. before the alarm goes off. No distractions allowed.
- Take a Break
Once your timer goes off, just stop, even you haven’t completed the task. Halt and check whether you’re close to completing it or will take longer. Then adjust the time accordingly and work faster if you’re falling behind. If you’re not, keep up the same pace. If you have completed by the time the alarm rings, you must reward yourself with a break and a healthy snack, if you want one.
Complete all your tasks in a day with this time-blocking technique. Once you implement the time block habit, you’ll thank me for turning you into the most organized and proactive business owner ever!

Ways to Become Effective at Time Management

- Make sure to review and plan out a to-do list the night before. It does not take more than ten minutes, and it sure organizes your process smartly for the next working day.
- On the list, rank your tasks in order of priority. Start from the most important and high payoff and finish off the list with the least important tasks. This will help you accomplish more with high-quality performance.
- Also check how much time you need to spend on each task and time block accordingly. This way, you’ll become more resilient to avoid distractions while you’re at work.
- Establish your goals. They must be clear to you and to your staff members, so you all know just where to be laser focused each day. Is increased revenue one of your goals?
